Job Requirements/Job Information

• Executive Administration & Time Management
• Maintain the Director's personal records and the Company's daily records, documenting key decisions, meeting minutes, and action items on a daily basis.
• Systematically prepare and prioritize the Director's daily, weekly, and monthly schedules to ensure a balanced allocation of time among field visits (farmland and fish ponds), office operations, and external meetings.
• Closely monitor all schedules to prevent overlapping appointments across various business functions.


• Operations Monitoring & Reporting
• Collect operation charts and progress updates from employees assigned to various business sectors, including but not limited to fertilizer sales, livestock health inspections, fish harvesting cycles, and property rental payment schedules.
• Review and verify the completion status of assigned tasks and provide timely and clear reports to the Director.
• Proactively alert the Director regarding operational bottlenecks or overdue tasks that may affect revenue generation or regulatory compliance.


• Meeting Preparation & Follow-Up
• Prepare briefing documents, agendas, and relevant information required for both internal and external meetings, such as crop yield forecasts, fish pond lease agreements, and fertilizer inventory reports.
• Record meeting minutes and monitor follow-up actions to ensure that decisions are effectively implemented and completed.


• Stakeholder Communication
• Serve as the primary point of contact on behalf of the Director in handling communications from government regulatory bodies, banking partners, investors, and tenants.
• Draft, review, and coordinate correspondence accurately and professionally in both Myanmar and English languages as required.


• Confidentiality & Trust
• Securely maintain sensitive and confidential information, including land ownership agreements, financial plans, investment negotiations, and employee-related matters.
• Handle the Director's personal and family-related affairs with the same level of confidentiality and discretion.


• Comprehensive Leadership Support
• Anticipate the Director's requirements and proactively provide the necessary information, arrangements, and support with minimal instruction.
• Coordinate and collaborate across departments, including farm managers, real estate agents, and finance personnel, to compile consolidated reports for submission to the Director.


• Decision-Making Powers
• Access to Information
• Authorized to access operational charts, management systems, and employee progress reports necessary for monitoring business performance.
• Authorized to review confidential documents required for meeting preparation and executive support functions.


• Schedule Control
• Authorized to manage the Director's calendar and, based on agreed priorities, decline or reschedule internal meeting requests on behalf of the Director.


• Information Flow
• Upon approval of standard templates, authorized to draft and sign routine notifications, meeting invitations, and response letters on behalf of the Director under his/her own name.


• Follow-Up Authority
• Authorized to directly request progress updates from employees at all levels for the purpose of preparing completion and status reports.
• This authority is limited to monitoring and follow-up and does not include direct supervisory or disciplinary power over employees.


• Accountability / Measurable Outcomes
• Accuracy & Completeness
• The Director's personal records and business reports must remain accurate, complete, and up to date at all times and be readily available for review whenever required.
• No missed appointments, scheduling conflicts, or overdue deadlines relating to government authorities, banking institutions, or other critical stakeholders shall occur due to scheduling errors.


• Reporting Timeliness
• Operational progress reports shall be submitted to the Director daily or according to agreed reporting frequencies.
• There shall be no instances where incomplete follow-up or unreported matters cause inconvenience or operational difficulties for the Director.


• Meeting Effectiveness
• Meeting agendas and supporting materials shall be distributed at least 24 hours prior to meetings.
• Meeting minutes containing clear action items shall be circulated within 12 hours after the conclusion of meetings.


• Zero Breaches of Confidentiality
• There shall be zero incidents of confidential information leakage arising from negligence, including matters relating to land transactions, fertilizer profit margins, or the Director's personal affairs.


• Proactive Anticipation
• The Director shall always be fully prepared with all necessary documents and information required for decision-making and business activities.
• The Secretary shall consistently demonstrate proactive leadership support and the ability to anticipate and address executive needs effectively.
